Order Export setup guide
Five minutes from install to your first test file.
Install
- Install the app from the Shopify App Store and approve the permissions it asks for. It asks only to read your orders.
- Open Order Export in your Shopify admin. The Home page has a three-step setup guide: choose who gets the export, send yourself a test, and wait for your first scheduled export.
Set a schedule
Open Settings. Nothing is sent until you save an email address.
Where and when
- Send exports to: type the address that should get the file. The app never fills this in for you.
- How often: daily or weekly. For weekly, pick the day.
- Send at: the hour, in your shop's time zone. The zone is shown under the field.
Which orders
- Period: the previous day (daily) or week (weekly), the last 7 days, or the last 30 days.
- Payment status and Fulfillment status: any, or one status.
- Include cancelled orders: off by default.
Columns
- One row per: order, or line item. Choose line item if you want the products on each order.
- Tick the columns you want, in four groups: Order, Money, Customer details, and Line items. Line item columns are used only when the file has one row per line item.
- Customer details are personal data. Only the customer's name is on by default. Email, phone and shipping address are off until you tick them. Shopify controls access to these, so they can be unavailable on some stores.
When you change a field, Shopify shows its own Save bar at the top of the page. Press Save there. You will see "Settings saved".
To stop exports for a while, use Pause exports at the bottom of Settings. Your settings are kept. Press Resume exports to start again.
Send a test
On Home, press Send test export. It sends the last 7 days to your saved address now. Your schedule does not change, and a test never sets off an alert.
The email has the counts and a download link. The file itself is not attached. The link works for 7 days and can be opened more than once. Anyone who has the link can download the file, so do not forward the email. After 7 days the file is deleted, and the next scheduled export sends a new link.
Read the export history
Home shows your five most recent exports. See export history opens the last 30. Each row has:
- Time, in your shop's time zone.
- Type: Scheduled or Test.
- Delivered: a badge. Sent means the email went out. Incomplete means it went out but is missing orders. Failed means nothing was sent. Running means it is still working.
- Orders found: how many orders Shopify counts for that period and those filters.
- Orders written: how many different orders are in the file.
- Rows: how many rows are in the file. This is higher than the orders when you chose one row per line item.
- Reason: what happened, in plain words, when a run did not go well.
The two order counts are the check. Every file is compared with Shopify's own count for the same period. If they match, the run is Sent. A period with no orders is normal: it shows "No orders in this period - nothing missing", and the file holds only the column headings.
The banner at the top of Home gives the same story in one line. It can also say Late: an export was due and has not finished. That one appears in the app only, with no email.
What each email means
All emails have the app name in square brackets in the subject, and your shop's domain at the end.
Orders (the receipt)
Subject starts with "Orders" and the period. Your file is ready. It shows the orders found, the orders written, the rows, and the check result. If the subject says "Orders (check needed)", read the line under the counts: the file is missing orders.
Run failed
The export could not be built or sent, and nothing reached you. The email says why. We try again automatically, 30 minutes later, up to three tries for that day's export. You get one failed alert, not one for each try.
Export incomplete
A file was sent, but Shopify counted more orders than are in it. The email gives both numbers. The next scheduled export covers the next period. The missing orders are not sent again on their own. Reply to the email and we will help.
Back to normal
An export worked after a failed or incomplete one. You get this once, so you know you can stop worrying.
Common reasons for a failure, as the app words them: the period is too large to read in time or to hold as a file (choose a shorter period or fewer columns), Shopify was briefly unavailable or asked us to slow down (we retry), or the app lost access to your store (open the app in your Shopify admin to reconnect it). One export can hold up to 20,000 orders.
Simulate a failed delivery
On a development store, the bottom of Home has a card called Development store tools with a Simulate a failed delivery button. It runs a real failed export, so you can see how a failure looks in the export history and in your inbox. The alert's subject starts with "[Simulated]", and nothing is exported.
This card is shown only on development stores. You will not see it on a live store.
Help
Use the feedback box at the bottom of Home, or write to hello@cartkept.com. We reply within one business day. Please include your shop's domain, and the time of the export in your time zone. See Privacy for what the app stores.
